When delegating tasks, begin by clearly defining the goals and outcomes you expect. This provides your team members with a clear understanding of what success looks like and what they are working towards. Ensure that these goals are Specific, Measurable, Achievable, Relevant, and Time-bound (SMART). This clarity helps eliminate ambiguity and sets a clear direction, which is essential for effective execution and accountability.

After establishing goals, break down the task into specific steps. This involves outlining the process that needs to be followed to achieve the desired outcome. By providing a step-by-step guide, you reduce the risk of misunderstandings and ensure that your team has a clear roadmap to follow. Detailing the steps also helps identify any potential resources or support your team might need to complete the task successfully.

Clarifying who is responsible for each part of the task is critical. Assign roles based on individual strengths and skill sets within your team. Setting realistic deadlines is essential for maintaining momentum and ensuring timely completion of tasks. Deadlines create a sense of urgency and help prioritize work. When setting deadlines, consider the complexity of the task and any other commitments team members may have. Clear deadlines also allow for better tracking of progress and provide opportunities for feedback and adjustments along the way.

Setting realistic deadlines is a key ingredient in maintaining momentum and ensuring your team completes tasks on time. Deadlines create a sense of urgency and help prioritize work. When setting them, consider the complexity of the task and any other commitments your team members might have. Clear deadlines benefit everyone: Prioritization: Deadlines help your team focus on what's most important first. Progress Tracking: They allow you to easily monitor progress and identify potential bottlenecks. Feedback Opportunities: Clear deadlines create opportunities for timely feedback and adjustments throughout the project.
Offering support and being available for questions is vital for successful delegation. Make it clear that you are there to assist and provide guidance when needed. This encourages an open line of communication and allows team members to seek clarification without hesitation. Support can also come in the form of resources or tools needed to complete the task, so ensure that your team has everything they need to succeed.

I always prompt people to ask me clarification questions when delegating. The more, the better. There are no stupid questions. If they say that they have 0 questions, I usually ask the person to explain the assignment to me. All this takes a few minutes, and maybe even seems excessive, but eliminates miscommunication and saves so much time for everyone involved
Finally, regularly monitor progress to ensure that tasks are on track and to address any issues promptly. This doesn't mean micromanaging, but rather staying informed and providing feedback when necessary. Regular check-ins can motivate your team and help adjust directions or provide additional support if challenges arise. Monitoring progress is a key aspect of maintaining control over the delegation process and ensuring successful outcomes.

I find it immensely useful to set the timing on the follow up right from the start. When delegating tell your team that you will check back in 3 days for progress and additional questions. If they don't have questions you should be concerned as well.

I always have the person repeat back from their view what needs to happen to accomplish what I have delegated. Something like "Tell me where you think is best to start and who to coordinate with". This helps ensure they have understood the assignment and how to gather others to get the outcome we are looking for.
